1. What this policy covers
This policy covers the Terramon mobile application and the app services used to identify plants, save encounters, show progress, and display discovery points. The Vedfoundry website has a separate website privacy policy.
2. Data we process
Account and profile data
If you create an account, we process your email address, authentication information, handle, display name, optional city, timezone, account dates, and internal user identifier. Passwords are handled by our authentication provider and are not visible to Vedfoundry in plain text.
Plant scans
When you choose to identify a plant, Terramon processes two or three photos and the plant-part labels you select. The photos are sent for identification, are not saved to your Terramon account or database, and temporary copies on the device are deleted after the identification attempt. Scan-attempt records may include time, outcome, matched plant, confidence, and provider reference, but not the photos themselves.
Location
Terramon requests foreground location only when you ask to see nearby activity or choose to add a map location to a saved encounter. If you save with location, the exact coordinates are kept with your private encounter. A separate public point is shifted by a random distance of 100 to 250 metres and does not include your account identity. You can save an encounter without any location.
Activity and progress
We keep saved plants, encounter times, identification confidence, XP events, achievements, daily mission activity, streak state, and reward state so Terramon can provide your field journal and progression.
Device data
Terramon stores onboarding state and optional reminder preferences on your device. Daily field reminders are scheduled locally through the device operating system. Terramon does not upload an advertising identifier or use third-party advertising trackers.
Service and security data
Our infrastructure providers may process standard request information such as IP address, device or client information, request time, and diagnostic logs when the app connects to their services. We use this information to deliver the service, prevent abuse, and troubleshoot failures.
3. How we use data
- Create and secure your account.
- Identify plants and return candidate matches.
- Save encounters, build your Terradex, and calculate progression.
- Show nearby discoveries without publishing exact private coordinates.
- Apply scan limits, prevent abuse, maintain security, and diagnose errors.
- Respond to support, privacy, and account-deletion requests.
4. Service providers
Terramon currently relies on the following providers:
- Supabase for authentication, database storage, and server-side functions.
- Pl@ntNet for plant image recognition. Scan photos are sent to this service to produce plant candidates.
- OpenAI for generating concise field-guide content about an identified plant. Terramon sends plant taxonomy text for this step, not your scan photos, email address, exact location, or profile.
- Google Play and device platform services for app distribution, permissions, map rendering, and locally scheduled notifications where applicable.
These providers may process data in countries outside your own under their terms and data protection arrangements. We do not sell your personal data or share it with advertisers or data brokers.
5. Public discovery information
A public discovery point may show the plant, shifted coordinates, optional locality, and discovery time. It does not show your email, handle, display name, user identifier, or exact encounter coordinates. Do not put private or identifying information into a locality label.
6. Data retention
Account, profile, encounter, and progress data are kept while your account remains active or as needed to operate Terramon. Plant photos are processed transiently and are not stored in the Terramon database. Security and scan-attempt records may be retained for a reasonable period to prevent abuse and investigate service failures.
When your account is deleted, we delete the account and data linked to it, subject to any data we must temporarily retain for security, fraud prevention, dispute resolution, or legal obligations. Shared plant catalog records and shifted public discovery points may remain after account deletion because they do not carry your account identity.
7. Your controls and choices
- Browse the catalog and public map without creating an account.
- Deny camera, location, or notification permission in device settings.
- Save a verified encounter without adding a location.
- Disable optional field reminders in Terramon or device settings.
- Update available profile fields in the app.
- Request account deletion through the Terramon account-deletion page.
8. Security
We use access controls, encrypted network connections, database row-level security, and server-side authorization checks to protect personal data. No security method is perfect, so we cannot guarantee absolute security.
9. Children
Terramon is not directed to children under 13, and we do not knowingly collect personal data from a child under 13. If you believe a child has provided personal data, contact us so we can investigate and delete it where appropriate.
10. Your privacy rights
Depending on where you live, you may have rights to access, correct, erase, restrict, object to, or receive a copy of your personal data, and to raise a grievance or complaint. Email legal@vedfoundry.com. We may ask for enough information to verify that the request concerns your account.
11. Changes to this policy
We may update this policy when Terramon, its providers, or applicable requirements change. The date at the top identifies the latest substantive revision.
